How Security Solutions Should Co-Exist and Communicate On Today’s College Campuses

A student swipes their ID to enter their dorm; a custodian unlocks a supply closet; a campus police officer returns a cruiser to the station. These everyday moments share something in common — they all depend on how well a university's security, IT, and operations teams work together.

As schools move away from siloed systems toward more streamlined operations, technology is playing a pivotal role in making campuses safer and more efficient.

The signature of effective security technology, especially on college campuses, is in its ability to integrate with an existing ecosystem. How solutions communicate and operate within an established infrastructure is vitally important to their later adoption by all users.

Technology should make operations easier and safer, and if it is not integrated properly, it can be a burden to users and ultimately prove to be cost-prohibitive, with valuable downtime spent trying to essentially force a square peg into a round hole.

An interesting example of this lies within physical key management. Keys are used widely across college campuses in many capacities, both as a primary access credential and a redundant one to more digitalized assets like badges and fobs. How campuses manage keys differs, but intelligent key cabinets are growing in popularity as they clearly prove value in the two points noted above – safety and efficiency – while also communicating effectively with a central access control platform.

Cabinets are installed strategically throughout campus and provide varying levels of access to users depending on what the keys are used for. Because they are connected to the main security system, access to the cabinets is managed by the same personal ID issued to all users. It is not a separate system that managers must check, but rather a valuable supplement to their existing framework that provides further visibility into what is for most college campuses, the most widely used access credential in physical keys.

The same logic applies to shared asset management solutions like intelligent lockers. Schools use a litany of shared digital devices like radios, tablets and laptops for staff, including law enforcement, maintenance workers and vendors. If any of the assets go missing, the school faces reputational, financial and security risk. Intelligent lockers address this by storing and managing these assets centrally, ensuring staff only access what their role requires, and reducing the chance of loss or liability — all through the same platform already in place.

In short, what intelligent key cabinets and lockers provide for schools is invaluable data and a clear view of who is accessing what and when. If an asset is not returned by a specific time, that manager is notified, and they can track it down faster, drastically reducing valuable downtime looking for it. Access to those assets is managed more strategically, often from a central location, which streamlines oversight and cuts the need to manage each cabinet, locker or even building individually on-site.

This information is critical for universities to set up a more proactive stance when dealing with crises, rather than reacting to them on their heels. Because campuses are large, complex environments, threats and issues can come from anywhere. Managers, therefore, need to have real-time data of all access through integrated solutions like intelligent cabinets and lockers, which paint a more comprehensive picture of what is happening.

It is an effective marriage of software and hardware management, cohesively working together to ensure safe and efficient access. Without this clear information, managers can be left in the dark about who has what and when, which is a dangerous posture in which to operate, especially with so many lives at stake on campus.

Let’s take that custodian we have mentioned as an example. He finds out he is being fired, which could be a potential crisis if he responds adversely. He has access to a variety of keys, and if a school does not have a modern system in place to monitor his access to them, it may have limited visibility into what keys he has and where he could go.

Conversely, though, if there is an intelligent system in place, a manager can see what keys he has removed and can ensure he returns all his keys before he is terminated. His access to those keys can then be immediately revoked if his ID badge, which he had used to open the key cabinet, is connected to the main access control system.

While a simple example, the custodian case illustrates the importance of all solutions working together to provide a safer and more efficient campus setting for all employees and students.

Even though universities are large, multi-layered settings, creating such a connected and secure infrastructure starts with considering advanced technology that can seamlessly integrate and communicate with the existing access control platform. It is important for universities to constantly evaluate the solutions marketplace and prioritize technology that not only addresses current needs but also places them in a more proactive stance to respond to crisis situations and combat the ever-evolving world of campus security threats.
